Who Confirms Payment at a Crypto QR Counter? Train Cashiers to Wait for the Status

At a crypto QR counter, your cashier should confirm payment from the payment screen, not the customer's wallet. Here is a short, practical workflow for in-person sales.

Who Confirms Payment at a Crypto QR Counter?

At a crypto QR counter, the cashier should confirm payment, not the customer. A customer's wallet screen can show a sent transaction, but only your payment system shows whether that exact sale is confirmed. Train every cashier to wait for the confirmed state before releasing goods.

How the Counter Flow Works

MiraclePay describes four in-person steps: create an order, display the QR, customer completes payment, staff gets confirmation. The customer scans with their own wallet and sends the exact amount on the network shown. The cashier creates the payment for the exact sale, displays it on a terminal, tablet or phone, and watches the status.

BitPay's retail page describes a similar pattern, with a QR code generated for each transaction on a mobile device, tablet or desktop browser. Whichever provider you use, the principle is the same: one QR per sale, one visible status per QR.

What Cashiers Should Do and Say

Keep the script short. Tell the customer the amount, asset and network shown on screen. MiraclePay notes the wallet must support that exact asset and network, so compatibility should be checked with the wallet provider before a live payment. If a customer says they have paid, the cashier replies: "Thanks, I'm waiting for our screen to show confirmed."

Never hand over goods on a customer's screenshot, a wallet notification or a verbal promise. If the status does not change, do not create a second QR for the same sale until a manager has reviewed the first.

Close the Loop After the Sale

Because the same reference follows the transaction into reporting, cashiers should note the order reference on the receipt. This helps your back office match counter sales to payments later. Review unresolved cases at end of shift.

Before launch, check availability: MiraclePay says eligible merchants only, and New York-based merchants are not currently eligible. Run a few practice sales with staff playing customers so everyone has seen a confirmed state before the first real one.
